Bulk Upload Guide: Import Your Entire Staffing Roster in Minutes

Step-by-step guide to bulk-uploading employees from CSV, PDF or Word into your staffing software — with the field mapping and cleanup tips that save hours.

Prepare your source file

The cleanest imports start from a spreadsheet with one row per employee and columns for first name, last name, email, phone, and position. Word and PDF rosters work too — the parser extracts contact rows from tables and formatted lists — but a CSV gives you the most control.

Deduplicate on email before you upload. If two rows share an email, the importer keeps the last one and drops the earlier record silently.

Map fields once, reuse forever

On first import, drag your source columns onto the target fields. FillYourShift remembers the mapping so subsequent uploads from the same template map automatically.

Positions are created on the fly. If your CSV lists 'Barback' and the position doesn't exist yet, the importer creates it and links every matching row.

Handle validation errors without starting over

Bad phone numbers and malformed emails are flagged inline. Fix them in the preview table before you commit — the rest of the file waits, so you don't have to re-upload.
